Corporate Admissions Coordinator

Department: 725-0000 Admissions

Summary
Is responsible for supporting the ground admission departments by managing administrative processes, coordinating key systems, and ensuring a seamless student enrollment experience. This role involves frequent communication with corporate support teams and campus partners, accurate data entry, and oversight of admissions tools. Plays a key role in maintaining compliance and supporting enrollment efforts.

Essential Duties and Responsibilities
• Staffing: Maintain a log of open enrollment positions, candidates interviewed, and offers made.
• User Account Setup: Create and manage new user accounts for systems such as Velocify, Checkr, and other platforms as needed.
• TWC Tracker Maintenance: Update and maintain the Texas Workforce Commission (TWC) tracker to ensure accurate compliance and reporting.
• Enrollment Agreement Issues: Identify, track, and resolve issues related to student enrollment agreements in a timely and compliant manner.
• Docusign Management: Oversee the setup and tracking of documents routed through Docusign, ensuring timely completion and compliance.
• Specialty Program Enrollment: Guide project management process for specialty programs, ensuring all criteria and documentation are met and documented.
• POG Review/Collection: Report the collection of Proof of Graduation (POG) documents to corporate leaders and CP/DOA. Remit extension requests for VP review.
• Registration Fee Review/Collection: Report collection of registration fees to corporate leaders and CP/DOA.
• Packaging Review: Report packaging statuses to corporate leaders and CP/DOA.
• Norton Norris Mystery Shop: Collect and organize Norton Norris mystery shop results and push exception reports to the appropriate contact. Maintain documentation of training.
• DOA/ADOA/Advisor Coaching Documents: Maintain database of coaching documents, ensuring timely submission and sign offs.
• Anthology Calls: Attend Anthology system calls to stay informed on updates and communicate relevant information to the team.
• Velocify CRM Process Management: Oversee the Velocify CRM setup process, including user configurations and workflow alignment.
• ICARE University: Provide 2x month reports on ICARE University courses (Admission’s) and completion status.
• Document templates: Prepare requested documents in proper word or instructional format.

Education
• Associate’s degree required; Bachelor’s degree preferred.
• Previous experience as an administrative assistant, project manager, or enrollment management preferred.
